Employees out in the field? They may be critical to your business but poor management of their expense can be crippling. From making sure every expense is coded correctly to automating approval processes, if you're still searching in vain for an expense management program that will work with and for your business, it might be time to consult outside resources.
Expensify has several features to make it as easy as possible for your employees to track all their expenses throughout their business trips. One option that saves the most time is Expensify's ability to scan receipts directly into the app. Your employees don't have to manually enter receipt information, so it's much more likely to be logged. It's also designed around easy administration from your end for reimbursement, expense approval, and exporting into bookkeeping and accounting software. In addition to the expense features, it also allows employees to enter their trip information to make it available all in one place.
Tallie works through a smartphone app (iPhone and Android) to help employees manage expenses and coding while on the go. Employees can simply snap a picture of a receipt or enter mileage and it automatically assigns the expense to a project. This includes billable projects--and it routes information directly through the approval process you prefer and syncs information with QuickBooks.
Abacus is a new app (at least, relatively new to us) as we met them in Las Vegas at the Sleeter Accounting Solutions conference in November 2014. A simple app, it offers a GPS-based system to suggest nearby places when entering expenses. It also syncs directly to employee charges and will prompt to select a merchant when a new expense is charged to a linked card. This app is especially useful for very small businesses tracking expenses in urban areas.
