Communication
AccountingDepartment.com’s employees are available by email, instant messenger (IM), and phone all day.
Email
Email is our primary form of communications at AccountingDepartment.com. We prefer to receive instructions via email, rather than verbally, so that all instructions are easily documented. You can forward emails to us from your vendors and customers. Email communication also allows your bookkeeper to handle your work more efficiently. Since each bookkeeper has more than one client, your bookkeeper will set aside a block of time to work on your data each day, but you can send documents and information via email at any time that is convenient for you. Another reason we use email as the primary source of communication is to allow AccountingDepartment.com management to review all outgoing emails and stay up-to-date on client workflow and opportunities for improvement.
MSN Instant Messenger (IM)
MSN INSTANT MESSENGER (IM) is the second form of communication that we use at AccountingDepartment.com. Our Office Manager, will send you an email with installation instructions. Since we are not in your brick & mortar office, Messenger lets you know that your bookkeeper is “in the office”. Our bookkeepers will mark themselves “away” when they are not available or “out to lunch” when they are at lunch. We do not take any bookkeeping instructions over IM. It is only used for quick questions or to chat.
Phone
Each person in our company has their own extension. If the bookkeeper has gone back and forth with you 2-3 times on any item or issue via email, we will call you to get a clear picture of what is going on. After each phone conversation, you will receive an email recap of the conversation documenting the discussion from our perspective. If you do not agree, then please reply and let us know.
